Insurance Verification in Kasper helps your team confirm patient insurance coverage quickly and accurately, ensuring smoother check-ins, fewer billing issues, and better preparedness before appointments.
The Insurance Verification Dashboard provides a centralized view of upcoming appointments and highlights which patients’ insurance information requires attention, allowing your staff to prioritize work efficiently.
Accessing the Insurance Verification Dashboard
Navigate to Insurance Verification from your Kasper workspace to view all upcoming appointments that require insurance review.
The dashboard is designed to help your team focus on the right patients at the right time, based on appointment date and insurance status.
The Insurance Verification Dashboard is divided into three tabs:
Today:
Displays patients who have appointments scheduled for today. Appointments are listed in chronological order to support real-time, day-of preparation.Tomorrow:
Shows patients with appointments scheduled for the following day, helping your team prepare in advance.Next 7 Days:
Includes all patients with appointments scheduled within the next seven days, enabling proactive insurance verification and workload planning.
Understanding the Insurance Verification Table
Each row in the table represents a patient appointment and includes the following details:
Patient Information
Patient name and date of birth for easy identification.Appointment Time
The scheduled appointment time and date.Insurance
Displays the insurance company name and indicates whether it is Primary or Secondary insurance.Last Verified
Shows how many days ago the insurance was last verified. This information syncs in real time with Open Dental and automatically updates if the verification date is changed there.Status
Verified: Insurance has been verified recently.
Needs Verification: Insurance has not been verified within the required timeframe.
Patients whose insurance needs verification are clearly highlighted in red to draw immediate attention.
PDF
Provides access to the insurance verification document when available.Action
Use the Verify button to begin or complete the insurance verification process.
Needs Verification Indicator
At the top of the dashboard, you’ll see a summary count of patients whose insurance needs verification.
Patients with insurance that has not been verified in over 30 days are automatically flagged.
These patients appear under the Needs Verification indicator, helping your team prioritize high-risk or outdated insurance records.
Search and Filters
To make managing large schedules easier, Kasper provides flexible search and filtering options:

Quickly find a patient by typing their name into the search bar.Filter By
Refine the list using:Status (Verified or Needs Verification)
Insurance Type (Primary or Secondary)
These tools allow your team to focus on specific subsets of patients and streamline daily workflows.
How to Verify Insurance
You can verify a patient’s insurance from multiple places in Kasper, depending on where you’re working. All verification methods update the insurance status in real time and sync with Open Dental.
Verify from the Insurance Verification Dashboard
Use this option when reviewing upcoming appointments or working through daily insurance tasks.
Go to Insurance Verification in your Kasper workspace.
Find the patient under Today, Tomorrow, or Next 7 Days.
Click Verify in the Action column.
Review the insurance details and click Submit.
Once submitted, the insurance status updates automatically.
Verify from the Patient Profile (Communication Tab)
This option is helpful when you’re already reviewing a patient or communicating with them.
Open the patient’s conversation from the Communication tab.
In the right-hand Patient Profile, scroll to the Insurance section.
Click Verify next to the listed insurance.
Review the information and click Submit.
View Insurance Status from the Dashboard
You can quickly check a patient’s insurance status directly from the dashboard using the insurance icon:
Green — Insurance is verified
Red — Insurance is on file but needs verification
Gray — No insurance on file
These visual indicators help your team identify insurance issues at a glance, without opening the full verification flow.
Insurance Verification Settings
Kasper gives you control over how insurance verification data and documents sync with Open Dental. These settings help ensure consistency between systems and allow your team to tailor the workflow to your office’s preferences.
You can manage these options by navigating to Settings → Insurance → Insurance Verification Mapping.
1- Map Insurance Verification PDFs to Open Dental
Choose which Open Dental Imaging folder insurance verification PDFs are uploaded to.
Use the dropdown to select a specific imaging folder (for example, Insurance).
All insurance verification documents generated in Kasper will be saved to this folder in Open Dental.
This helps keep patient records organized and easy to reference.
2- Sync Insurance Verification Files to Open Dental
You can enable or disable syncing insurance verification documents to Open Dental.
Enabled: Verification PDFs are automatically uploaded to Open Dental.
Disabled: Verification documents remain available in Kasper only.
3- Choose the Default "Last Verified" Value
Select which insurance field is used to populate the Last Verified date:

Benefits
This determines which verification value Kasper uses when displaying and syncing the last verified status.
4- Sync the "Last Verified" Date to Open Dental
Control whether the Last Verified date is written back to the patient’s insurance record in Open Dental.
Enabled: Updates the Last Verified date in Open Dental automatically.
Disabled: The Last Verified date is tracked in Kasper only.
Best Practices
Review the Tomorrow and Next 7 Days tabs daily to stay ahead of insurance issues.
Prioritize patients flagged under Needs Verification, especially those exceeding the 30-day threshold.
Keep Open Dental insurance verification dates up to date to ensure accurate, real-time syncing with Kasper.
By using the Insurance Verification Dashboard consistently, your team can reduce last-minute surprises, improve billing accuracy, and deliver a smoother patient experience.
