Track patient appointments and update their status in Open Dental.

Updated over a week ago

You can keep track of where patients are throughout the office, be alerted if they need to fill out their paperless forms, update appointment notes, send an alert when the patient is ready, and more!

The Kasper Dashboard is synchronized with Open Dental, displaying the appointments for the current day. This synchronization is two-way, meaning that any changes made in Open Dental will automatically be reflected in Kasper, and vice versa. This ensures that the information in both systems stays up-to-date and consistent, providing a seamless experience for managing patient appointments and information.

To edit how the appointment status syncs please click here.

To add an appointment to the Kasper dashboard, follow these steps:

  1. Click on "Add Appointment" in the "Arrived" column.

  2. Search for your patient from the patient list for that day.

  3. Click "Add" to include the appointment in the Kasper dashboard.

This process allows you to conveniently add appointments to the Kasper dashboard for the current day's schedule.

Appointment Card Icons

1. Outstanding Forms ("Paper" Icon)

If a patient still has forms to be completed, a paper icon with an "X" will appear beside their name on the appointment card. If you hover your mouse over this icon a bubble will appear to inform you which forms have not been completed.

If a patient’s forms are complete a green checkmark will appear beside their name on the appointment card.

Note: Patients can automatically be moved to the "Ready" status if the forms are completed once they've arrived please click here to see how this can be done.

2. Birthday ("Birthday Present" Icon)

If today is the patient's birthday, you will notice a "Birthday Present" icon next to their name.

3. Notes ( "Exclamation mark" Icon)

When a patient has a note in the Open Dental Notes section, you will see an exclamation mark icon next to their name. Hovering over this icon will allow you to view the note.

4. Wait time ("Hourglass" Icon)

The hourglass icon on the appointment card represents the waiting time for the patient.

5. Menu ("Hamburger" Icon)

To update patient notes or remove a patient from the dashboard, click on the Hamburger Icon (usually represented by three horizontal lines or bars).

6. Hygiene Reappointment ("Tooth Brush" Icon)

  • Solid Green Tooth Brush Icon: Indicates a patient with a scheduled hygiene visit in the future.

  • Solid Red Tooth Brush Icon: Denotes a patient up-to-date with their hygiene appointment, but without a future scheduled visit.

  • Flashing Red Tooth Brush Icon: Signals a patient overdue for hygiene with no future appointment scheduled.

After the patient is taken back, you can simply drag and drop them into the appropriate column, such as "Hygiene" or "Procedure," on the dashboard. This helps organize and categorize patients based on their status or appointment type.

Then select the room that they are in.

Sending a notification that the patient is ready

Click on the Hamburger icon -> Ready for doctor. When you click on the Ready for doctor, it will ring a bell and display a pop-up notification to users who have this notification enabled.

Once the patient is set as complete in Open Dental, they will be automatically moved to the ‘Checkout’ column.
