AI-Powered Tasks intelligently create follow-up tasks based on specific call and voicemail scenarios, helping your office ensure that no patient falls through the cracks.


What Triggers an AI-Powered Task?

Tasks are automatically generated when the system detects the following communication patterns:

  • Abandoned Missed Calls
    Tasks are created for missed calls that were never returned, ensuring every patient receives a timely follow-up.

  • Incomplete Conversations
    If a call has fewer than three message exchanges, a follow-up task is generated to ensure the conversation is completed.

  • Short/Interrupted Calls
    Calls lasting less than 10 seconds, often indicating drops or connection failures, will trigger a follow-up task automatically.

  • Abandoned Voicemails
    If a voicemail is received and no follow-up is made, the system will create a task to reconnect with the caller.

  • Unreturned Outgoing Voicemails
    When your team leaves an outbound voicemail and the patient doesn't call back, a follow-up task is generated.


How It Works

  • Task Creation:
    Tasks are auto-generated and unassigned. Team members can claim them or assign them to the appropriate user.

  • Task Closure:
    Tasks automatically close when successful contact is made, either by phone or through a text exchange with the patient.

Only Users who have access to Phones & Tasks will have access to AI- Powered Tasks.


Task Management from the Dashboard

From the Dashboard, you can:

  • View all of your assigned, overdue, and completed tasks for the day.

  • Access all unassigned tasks from the last 4 days, and assign them to yourself or others.



Need to view tasks older than four days?

Head to the Tasks tab for full access to your team's task history.


Settings & Customization

1. Choose Which Events Generate Auto-Tasks

Navigate to:
Settings > AI-Powered Tasks > Call Follow-Up Automation

  • Toggle ON the events you want to activate for auto-task creation.

  • Toggle OFF the ones you don’t need.

2. Exclude Specific Users from Receiving Auto-Tasks

Navigate to:
Settings > AI-Powered Tasks > Excluded Users

  • Add users who should not receive auto-generated tasks, ideal for team members who don’t handle follow-ups or callbacks.


Getting Started with AI-Powered Tasks

To set up the feature properly:

  1. Go to Settings > AI-Powered Tasks

  2. Review the Call Follow-Up Automation section and enable the triggers that suit your workflow.

  3. Use the Excluded Users section to filter out users who should not receive auto-tasks.

  4. Educate your team on how to view, assign, and complete tasks directly from the Dashboard and Tasks tab.
