How to Set your Incoming Call Schedule

Kasper provides users with comprehensive control over managing incoming calls in accordance with their office schedule and specific requirements. This article guides you through the process of configuring your settings to efficiently handle incoming calls.

Getting Started:

  1. Recording:

    • Navigate to the "Recording" tab.

    • All recorded greetings are stored here.

This is where you can record or upload greetings for voicemail, out-of-office, IVR, and vacation.

The voicemail greeting plays during office hours depending on your custom office hours. During business hours the phone is going to ring for 30 seconds before going to voicemail.

  1. IVR Configuration (Call Tree):

    • Customize your IVR (Interactive Voice Response) based on your preferences.

    • If your office doesn't use/require IVR, no need to set it up.

    • Refer to this article and video tutorial for detailed IVR setup instructions.

  2. Vacation Schedule:

    Do you want a different greeting to play temporarily for certain occasions, holidays, etc?

    • Set your vacation schedule

      a- Click on" Add Vacation

      b- Add the details of your vacation (Name, dates, and select the greeting for this vacation).

    • c- Don't forget to save the vacation by clicking on "Save vacation".

Call Forwarding:

Call forwarding forwards calls to the number of your choice and does not return back to the office voicemail, so we recommend using call forwarding sparingly (like if the internet is down temporarily).

  • Add relevant contacts for call forwarding, ensuring you can redirect calls efficiently.

    To add a new contact:

    a- Select "create"

    b- Enter the name and the number of the contact and click on "add number"

Setting Up Your Schedule:

  1. Accessing Schedule Settings:

    • Click on the "Call Schedule" tab to configure your call-handling schedule.

  2. Setting Custom Schedule:

    • Select "Custom Schedule" from the schedule type

    • Click "Add Call Rule" to start building your custom schedule.

    • Define specific rules for each day, including the time, inbound call rule (voice mail, forward call, out-of-office, or IVR), and select the appropriate recording for each rule. Don't forget to click "add".

      Once your settings are complete, your schedule will appear as follows:

  3. Setting 24/7 Schedule:

    • Set preferences for a 24/7 schedule that suits your needs.

    • Select "24/7" from the schedule type.

    • Set the "inbound call rule" you want to activate for your 24/7 schedule and the inbound SIP.

    • Don't forget to click on "save" to save your settings.

Activation:

  • Ensure that you activate either the 24/7 rule or the custom schedule by selecting the desired setting. Don't forget to click on "Save" to apply your configured schedule.

By following these steps, you can optimize your response to incoming calls, ensuring a seamless experience for both callers and your team.
